Booking Terms & Conditions

Emotionstore Sports Events is a brand of Travelstore – Prestação de Serviços – Viagens, S.A. (“Travelstore”), a company of the Travelstore Group.

For the purpose of these Terms & Conditions, the terms “Emotionstore Sports Events”, “Travelstore”, “we” and “us” will be used interchangeably in designating Travelstore as the provider of the services.

Accommodation and other services

The prices indicated include hotel booking and continental breakfast.  The hotels may provide additional services such as WIFI, parking and transfers to the event area for hotels that are not centrally located, on a case-by-case basis. 

Transfers from Rome can be booked upon request for an additional fee.  

Price and Payment

A per person, non-refundable payment is required at the time the booking is made, and such payment must be made in full, based on the requirements of the proposed hotels.

 We cannot guarantee your reservation until full payment is confirmed.

The cost of your accommodation does not include any services which you may use or purchase whilst at the accommodation other than those specifically in writing confirmed as included in the price of your break as set out in your booking confirmation. You shall be solely responsible for paying the hotel directly for such additional services. These additional charges may include any types of services, such as additional F&B (any meals and drinks not stated in writing and confirmed to be included in the price of your break) spa treatments, purchases from shops and other.

Payment methods

Payments can be made online through our secure customer portal using credit cards, MasterCard, Visa and American Express, alternatively we offer a payment link that we will send to you via email after you have made your booking

Any credit card surcharges that may accrue to Travelstore will be included in the final amount charged to client.

You shall be solely responsible for any commissions and expenses that may be charged on you by the banking and international payment providers as well as any taxes imposed by the tax authorities in your country, and you accept that Emotionstore Sports Events will not be liable for such charges.

By entering your payment details, you confirm that the credit card that is being used is yours or that you have been specifically authorised by the owner of the credit card to use it. All credit card holders are subject to validation checks and authorisation by the card issuer. If your card issuer refuses to authorise payment, we will not be able to process your booking. We are not responsible for any failure on the part of your card issuer to process your payment or any missed deadline caused by such failure. In light of this, we strongly recommend making payments at time of booking or as soon as you receive a payment link. If you do not receive this link, it is your responsibility to contact the team at Emotionstore Sports Events to make them aware of any delays. Your booking will not be confirmed until payment is made.

Booking and Confirmation of Booking

You must be 18 years or over to make a booking and all bookings are strictly subject to availability and compliance with these booking conditions.


For bookings we will send you an acknowledgement of receipt of your booking request. This email of receipt does not constitute final booking confirmation. A confirmation email will only be sent once we have received payment.

After we have taken payment, we will send you a booking confirmation by email, which will set out full details of your booking.


For Hotel Bookings, online, a contract between you and the hotel will only come into existence and bind the parties when we issue the booking confirmation. Please check the booking confirmation carefully.


For Package Bookings, whether by email or online, a contract between you and emotionstore sports events, will only exist when we issue the booking confirmation. Please check the booking confirmation carefully.

Please contact us within 48 hours of receiving the booking confirmation if any information appearing on the confirmation or any other document appears to be incorrect or incomplete, as it may not be possible to make changes later. You have an ongoing obligation to make sure all information provided to us is correct, accurate and up to date. Should any of the information provided to us change then you should notify us immediately.

Group Bookings

Where your booking is for more than one person, the lead name will be responsible for the entire booking. As lead name you warrant and represent that you have the authority to accept on behalf of your party the terms of these Booking Conditions. The lead name will be responsible for making all payments in accordance with the contract. The lead name is also responsible for keeping all members of his/her party informed as to the booking details and informing us in writing of any amendments to or cancellations of the booking. As the lead name on a booking, you are ultimately responsible for the compliance of the whole group with these booking conditions.

Insurance

It is your responsibility to ensure that the insurance cover you purchase is adequate for your particular needs. We do not check insurance policies. Please read your policy details carefully and take them with you on your break. We do not accept any liability for any possible loss that you suffer as a result of your failure to take out an adequate insurance policy.

Delays

In the event of delays to your transportation, the provision of assistance and refreshments is governed by the individual operator’s policy.

Your Contract with us

When you make a Package Booking with us, your contract will be with us.


Your package contract includes all the travel arrangements that we make for you including your hotel stay, transport and transfers upon request and any other travel services that are stated on your booking confirmation

Any bookings you make with other providers are made directly with the providers via their websites. They do not form part of your booking with us and are governed by the terms and conditions of the third-party provider which are on the website of the provider or available from the provider on request. We do not have any liability whatsoever in relation to any services that you book with these third-party providers.

Emotionstore Sports Events and One Hundred are distinct and independent companies and this travel and accommodation contract is independent from your participation in the sports event. You acknowledge and accept that Emotionstore Sports Events is not liable in any way for any losses and damages related to the sporting event in which you are participating.

Cancellations/Amendments by You

If once the booking confirmation has been issued, you wish to change your booking in any way (for instance to the numbers of persons in your group booking, transfer your break to another person) or cancel your break, the person who originally booked the break (the lead name) must notify us in writing by email.

Travelstore may attempt to obtain partial or total refunds from the hotels and other providers. However, you must acknowledge that, as a general rule, payments made are not refundable, and suppliers will not be obliged to accept any changes without additional costs.


Emotionstore Sports Events may incur costs in cancelling confirmed bookings, particularly if cancellations occur close to the departure date, and in these circumstances, you will be charged a cancellation fee reflecting the losses and costs we incur.


If you have already paid for your trip at the time of cancellation and service providers do accept to refund payments, we will be entitled to retain the cancellation amount from the gross refundable amount and will refund to you the difference (if any).


All amendments are subject to availability and whilst we will do our utmost to make your requested changes, it may not always be possible to fulfil your request. For all amendments and transfers, we will require you to pay any additional fees, charges or other costs arising from such amendment or transfer. You should be aware that these costs could increase the closer to the departure date that changes are made.

You understand that accept that the accommodation and transportation services acquired through Emotionstore Sports Events are separate and independent from the sporting event in which you are participating.  You thus accept that Emotionstore Sports Events is not responsible for any cancellation or amendment by One Hundred or other third-party suppliers of the sporting event.   We have no responsibility for any such cancellation and any cancellation shall have no effect on your booked travel arrangements, accommodation or service arranged by us. Thus, you will not be entitled to any refunds or cost-free changes that you may require as related to such cancellation or amendment of the sporting event.

It is therefore important that you review the sporting event’s specific amendment and cancellation policy.

Any amendment or cancellation fees you incur in terms of other agreements you have made with other providers under separate contracts are not claimable from us.

Cancellations/Amendments by Us


Occasionally we may have to cancel confirmed bookings. Whilst we always endeavour to avoid changes and cancellations, we must reserve the right to do so. However, we will not cancel your booking after payment is made except in Force Majeure Events, as mentioned below or due to failure by you to make the payment.


Most changes are expected to be minor and we will advise you of them at the earliest possible date. Occasionally, we may have to make a “significant change” and we will tell you of any such change as soon as reasonably possible. “Significant changes” may arise mainly due to conditions and limitations from hotels and original service providers and not related to our control.

If we make a significant change to your break or cancel your break, we will offer you the choice of the following options:

  1. Accepting the changed arrangements (with a price reduction if appropriate).
  2. Purchasing an alternative location of this event from us, if available.
  3. Cancelling (or accepting our cancellation) in which case you will receive a full refund of all payments you have made to us.

We shall not be liable to you in case of cancellations or amendments that occur due to Force Majeure Events.  These include  acts of god, war, lightning, fire, storm, flood, earthquake, terrorist act, blockade, revolution, riot, insurrection, civil commotion, public demonstration, strikes or industrial disturbances, sabotage, acts of vandalism, criminal (including cyber-crimes affecting computers, networks or the internet, illegal hacking, (distributed) denial of service attacks, unauthorised access to or interference with data, identity theft, software and media piracy, website vandalism, release of viruses and worms, invasion of privacy and cyber-spying) acts (provided it is duly established that such events occurred in circumstances beyond party’s reasonable control and that the party has fully complied with the above-mentioned obligations related to data protection), compliance with any law or governmental order, rule, regulation or direction, interruption or degradation of any third party communications system or the Internet, or any action of a governmental or public entity and similar events.

Data Protection and Privacy 

When you make a booking for a sporting break, we will need to use your personal data such as name, address, contact details to make the travel arrangements for your break and otherwise as necessary to ensure that your booking contract is performed. This will usually require us to pass your personal data on to relevant third-party suppliers of your travel arrangements such as hotels, transport providers, ground agents and destination management companies so that they can fulfil their part of your travel arrangements.
